As a Procurement and Grant Specialist, you will:
• Support procurement processes by conducting market research, gathering vendor quotes, preparing tender documentation, and maintaining procurement records. • Manage and organise project documentation repositories, ensuring all files are correctly named, stored, and audit-ready. • Collect, verify, and process time-tracking records and cost documentation from internal teams in line with grant requirements. • Assist with co-financing calculations, cost eligibility checks, and preparation of financial annexes under the supervision of the Manager/Head of. • Prepare, format, and submit grant reports, annexes, and procurement documents in accordance with deadlines and templates set by the Grant and Procurement Manager/ Head of Grants and Procurement • Maintain and update the reporting calendar, flagging upcoming deadlines and ensuring timely collection of inputs from internal teams. • Liaise with internal stakeholders (finance, HR, technical teams) to gather required data and documentation for ongoing grant projects. • Monitor grant project mailboxes and correspondence logs; draft routine communications to authorities or consortium partners as directed. • Support the preparation and organisation of audit files and respond to document requests during internal and external audits. • Keep the internal grants and procurement tracker up to date and flag any inconsistencies or risks to the Manager/Head of.

Osobnostné predpoklady a zručnosti
• 1–3 years of experience in grants administration, public procurement, or project coordination in an EU or Slovak publicly funded environment. • Practical understanding of Slovak and EU grant frameworks, including basic familiarity with §117 procurement rules, de minimis thresholds, and state-aid concepts. • Experience in document preparation, formatting, and submission of grant-related materials (reports, annexes, procurement documentation). • Ability to maintain structured filing systems and ensure documentation is complete, accurate, and audit-ready. • Solid organisational skills with strong attention to detail; comfortable managing recurring deadlines and multiple tasks simultaneously. • Basic understanding of accounting principles and cost eligibility concepts relevant to grant-funded projects. • Proficient in Excel and Word; experience with ITMS, slovensko.sk, or similar e-grant platforms is an advantage. • Good written and spoken Slovak; working knowledge of English sufficient to navigate grant documentation and basic correspondence. • Proactive, reliable, and willing to take ownership of routine tasks while escalating issues appropriately.
