We are looking for a trilingual Executive Assistant to support our Technical Director in Slovakia. This is a high-impact role requiring a bridge between our Slovakian operations, our Global HQ in Kassel, Germany, and our Chinese Ownership. You will be responsible for ensuring that the Director's vision is translated into action across different cultures and reporting standards.
Multilingual Communication & Interpretation • Provide high-quality interpretation (Mandarin, English, Slovak) for the Director during technical meetings, site visits, and high-level strategy sessions. • Translate complex technical and management documents to ensure alignment between local teams and the Chinese owner.
Reporting & Document Preparation • Consolidated Reporting: ◦ Prepare daily, weekly, and monthly technical/business reports. ◦ Synthesize data from the Slovakian site into professional presentations for the Kassel HQ and the Chinese Owner. • Meeting Minutes: Draft precise English meeting minutes for all international calls, ensuring all technical requirements and deadlines are clearly documented.
Production Planning & Procurement Support Assist the Plant Director in the following operational areas:
• Production Planning Management: ◦ Assist in the preparation and follow-up of production plans, coordinating with relevant departments (production, logistics, and quality) to ensure plans are executed on schedule. ◦ Monitor production progress against plan and flag deviations or risks to the Director in a timely manner. ◦ Consolidate production data and prepare clear status reports for management review by the German HQ and Chinese ownership. ◦ Facilitate communication between the plant's production scheduling team and cross-border stakeholders.
• Raw Material Procurement Order Processing: ◦ Support the Director in handling raw material procurement orders, including preparation, review, and tracking of purchase orders (POs). ◦ Liaise with suppliers and internal procurement teams to ensure orders are placed accurately and on time, and follow up on order status, delivery schedules, and discrepancies. ◦ Assist in coordinating between the procurement and finance teams to manage approvals and documentation in compliance with German HQ and Chinese ownership standards. ◦ Maintain organized records of procurement activities.
Execution & Follow-up (Closing the Loop) • Act as the "Task Master" for the Director: Track the execution of instructions across various departments in the Slovakia plant. • Ensure that directives from the Chinese Owner and German HQ are understood and implemented by local Slovakian staff.
Cross-Border Liaison • Serve as a key point of contact between the Slovakia office and the Kassel HQ, managing the flow of information and ensuring compliance with both German corporate standards and Chinese strategic goals. • Coordinate logistics for cross-border meetings and visits between Germany, Slovakia, and China.
Administrative Excellence • Manage the Director's calendar, prioritize urgent business matters, and handle sensitive information with high confidentiality.
Candidates with education suit the position
English - Proficiency (C2) or Slovak - Proficiency (C2)
• Fluency in two languages: ◦ Native or professional proficiency in Slovak and English. ◦ Mandarin Chinese and German is a significant plus but not mandatory. • Cultural Intelligence: Deep understanding of Chinese business culture and European (especially German/Slovak) work ethics. • Analytical Skills: Ability to organize raw data into structured reports (PPT, Excel, ERP systems). • Operational Awareness: Basic understanding of manufacturing processes, production planning cycles, and procurement workflows in an industrial environment. • Proactive Mindset: You don't just wait for instructions; you anticipate the Director's needs and follow up on pending items before they are asked for. • Education: Bachelor's degree in Business, Engineering, Supply Chain, or Intercultural Management is preferred. • Systems Proficiency: Experience with SAP, ERP, or similar enterprise systems is a strong advantage.
